Receptionist

Requirements:

  • Bachelor’s Degree
  • Previous Experience working in an office
  • Mut be able to work in the United States of America legally
  • Must be able to pass a local criminal history check, a fingerprint background check

Job Description

  • Understands, accepts, and abides by the School’s philosophy and mission statement in all his/her school activities.
  • Develops a positive, welcoming, and caring climate in the front office.
  • Greets all incoming students, families, and guests respectfully and professionally.
  • Requires basic clerical skills and knowledge of office practices and procedures that involve the operation of standard office equipment such as personal computers, copiers, fax, and associated equipment that can be learned on the job within several months.
  • Able to communicate effectively, orally and in writing.
  • Able to read, comprehend and apply job-related written material in accordance with applicable school system policies and procedures.
  • Answers phone calls in a pleasant, informed manner to provide information and create a good image of the school and Al Furqaan Foundation.
  • Takes messages and transfers phone calls to appropriate personnel and entities of Al-Furqaan Foundation. 
  • Assists in all aspects of maintaining a professional front office, including but not limited to, fielding and directing incoming phone calls to the appropriate staff members of either the Academy or Al- Furqaan Foundation in a timely, professional manner.
  • Receives, sorts, and distributes incoming mail, documents, books, materials, and supplies following established procedures.
  • Responsible for filing, copying, and faxing sensitive information.
  • Able to relay registration information and handle the registration process. 
  • Give a tour of the school to prospective parents. 
  • Enters information or data to personal computer or computer terminal following established procedures.
  • Maintaining and filing important documents such as medical and academic records in students’ and teachers’ files.
  • Maintains student attendance in the school management system, such as daily presences, absences, tardies, and early dismissals.
  • Maintain sign-in sheets for visitors, early dismissals, and late arrivals. 
  • Makes appointments with parent/teacher or parent/principal
  • Collects tuition and issues receipts to parents. A copy of the receipt must be submitted to the accounting department.  
  • Collects and submits all monetary transactions to the accounting department at the Foundation office. 
  • Maintains a log of tuition received and submitted which must be signed by both the receptionist and the accounting department. 
  • Effectively perform all other duties as assigned by the Principal and/or President of the Al-Furqaan Foundation..
  • Provides for children’s personal needs such as attending to those who are sick or hurt; administering medications as prescribed by a physician in accordance with training and written and signed authorization from parents. May not administer his own medicine to students. 
  • Assists students and others with routine problems and will refer non-routine items to a supervisor.
  • Works with courtesy, tact, and diplomacy in dealing with others, and the ability to work cooperatively as part of a team.
  • Confidentiality of students, staff,  volunteers, and administrators is required and expected at all times.
